This Booking & Payment Policy explains how reservations, deposits, confirmations, pricing, and payment processing work for services offered by The Andes Adventure Travels.

1. Booking Request

A booking may be initiated through our website, by email, by WhatsApp, by social media, or through an authorized representative.

All bookings are subject to availability and operational confirmation.

2. Confirmation of Reservation

A reservation is considered confirmed only when:

  • The required information has been received.
  • Availability has been verified.
  • The required payment or deposit has been successfully processed.

3. Payment Options

Depending on the service, we may accept:

  • Full payment at the time of booking.
  • Partial deposit to secure the reservation.
  • Final balance payment before the service date.
  • Approved manual payment methods.

Accepted payment methods may include card payments, digital payment links, bank transfer, or other methods communicated at the time of booking.

4. Deposits

For certain tours and custom services, a deposit may be required to reserve guides, vehicles, logistics, or third-party components.

Deposit terms will be disclosed at the time of booking and may be refundable, partially refundable, or non-refundable.

5. Balance Due

If only a deposit is paid initially, the remaining balance must be paid by the deadline communicated in the booking confirmation.

Failure to complete payment on time may result in cancellation of the reservation.

6. Prices

All prices are subject to confirmation and may vary depending on:

  • Number of guests.
  • Destination.
  • Customization.
  • Season.
  • Pickup location.
  • Language requirements.
  • Private vs. shared service structure.
  • Third-party inclusions.

Unless expressly stated otherwise, displayed prices are indicative and do not create a binding obligation until confirmed.

7. Currency

Charges may be processed in USD, COP, or another disclosed currency.

The guest is responsible for any exchange rate variation, foreign transaction fee, bank fee, or card issuer charge.

8. Merchant of Record

Where applicable, payments may be processed by a designated merchant of record entity affiliated with our operations.

The merchant of record may differ from the local operating entity and will be identified in the checkout flow, invoice, payment link, or booking confirmation.

9. Billing Descriptor

Card payments may appear on the guest’s statement under the legal or commercial name associated with the payment processor or merchant of record.

10. Fraud Prevention and Verification

We reserve the right to request identity verification, cardholder confirmation, billing confirmation, passport match, or other reasonable anti-fraud verification before accepting or completing a booking.

11. Service Delivery

Service details such as pickup time, meeting point, vehicle type, guide assignment, and operational instructions may be confirmed after the booking is paid and closer to the service date.

12. Customer Communication

Guests are responsible for providing a valid phone number, email address, and/or WhatsApp number through which they can receive booking confirmations and operational updates.

13. Refused or Failed Payments

If a payment is declined, reversed, disputed, or not completed, we may suspend or cancel the booking until the payment issue is resolved.
